AIA Group is one of the four leading insurance companies in Asia. Their reference agency, Kay Event Agency from Ho Chi Minh, was looking for a partner in Italy to organize the European convention for the Vietnamese section of the group.
The event was very delicate because it was the first time the agency had to move outside the Asian market: nothing could go wrong.
We participated in a selection process, which involved several interviews and the submission of a portfolio of works to certify our experience and competence.
The negotiations lasted about four months, conducted in English. Every day there was a request or a modification to the project, and we managed to meet all demands within the desired budget, maintaining the desired quality.
And in the end, we were chosen.
The work was synergistic between the Staff Millennium team and the Kay Event Agency team.
The event took place at Spazio Antologico East End Studios in Milan. We started with routine site inspections to take all necessary measurements, decide on the hanging points, and define the spaces.
We at Staff Millennium were also responsible for producing all the necessary documents and permits, including certifications and structural testing.
We defined the event production plan point by point, working hand in hand with the Kay Event Agency team.
The event lasted for 3 days: two for setups and rehearsals and one for the actual event.
We at Staff Millennium took care of implementing the show, based on the schedule provided by the client. We used an Aquilon from Analogway and a 2.6mm pitch LED wall. For audio, we chose an RCF line array system.
The creative direction of the event was managed by Kay Event Agency. They created the technical design of the stage, while we handled the production and any necessary modifications to adapt it to the available space.
We created a 6-meter-long branded photobooth outside, decorated with adjectives that describe the company.
Our team and the Vietnamese agency team worked side by side, creating a unique team that allowed us to deliver a successful event that went smoothly.
This type of event requires solid technical expertise, flexibility, and extensive experience in event management.
